Special Rates at Conference Hotels

INTERPLAN has made reservations for participants at special rates in several hotels. To benefit from these rates, please fill in the accommodation section in the registration form and send it together with your registration as soon as possible to INTERPLAN, the congress secretariat. Please indicate your hotel of preference. However, INTERPLAN reserves the right to book a room in a similar hotel in the event that the preferred hotel is fully booked. The reservations will be made on a first-come, first-serve basis.

To guarantee your hotel reservation it is necessary to pay the rate for the first night as a deposit or to indicate your credit card details that will be forwarded to the respective hotel as guarantee. Upon receipt of your registration form and payment / credit card details, we will send you a letter confirming your registration to the congress and the requested events as well as your hotel reservation. In case you have paid a deposit you will receive a hotel voucher showing the amount of the deposit paid. This hotel voucher must be presented at the reception desk of the hotel upon departure. The deposit will be deducted from the hotel bill. A voucher is worth the amount written on it. Should you not present the voucher when checking out of the hotel, you will be charged for the full amount with no dedication of the deposit being made. The deposit paid for the voucher will not be reimbursed after the congress!

The registration as well as the hotel reservation will be confirmed only after payment has been received!

Methods of Payment

The registration fees for the congress, the hotel deposit and the sums corresponding to the social event must reach INTERPLAN at the same time as the registration form. The only currency accepted is the Euro. All payments must be addressed to: INTERPLAN GSFGCB03. State participants name clearly, otherwise payment cannot be identified! Please ensure that when payment is made by bank transfer that the transfer/bank charges are incurred by yourself and not the congress. The full registration fees must be received by INTERPLAN to ensure your registration.

Changes or Cancellation

Until September 26, 2003, please inform INTERPLAN and not the hotel, about any changes regarding arrival and departure dates. After this date, please contact directly the hotel for any further modifications.
Please note: The hotel reserves the right to charge any changes (later arrival/earlier departure, i.e. lost room nights) received later than August 25, 2003.

INTERPLAN must be notified of any cancellation in writing, either by registered letter, by fax or by e-mail.
Registration fees/Hotel deposit/Social Events: in case of cancellation received:

• before September 15th, 2003: full refund, less 40,- Euro for administrative fees
• after September 15th, 2003: no refund can be given for cancellations received on or after this date.

A printed hotel reservation form can be found on the GCB '03 Flyer. To book a hotel room please send the completed hotel reservation form accompanied by the registration form to the Registration Office.
